QR codes for fleets and transport operators

Fleets put QR codes in three places: a walkaround-check code in each cab that opens the defect report with the registration prefilled, durable maintenance-history tags on the vehicle itself, and wrap-advertising codes sized for parked reading: 20 to 50 cm, because nobody scans a moving vehicle.

The walkaround code is the operational win

Daily walkaround inspections generate the fleet's worst paperwork: paper pads, illegible registrations, defects that reach the workshop days late. A code per vehicle carrying the registration in the URL

Opens the defect form with the vehicle already identified, so the driver's report is photos and taps, timestamped on arrival at the workshop's queue. Maintenance history at the vehicle

The same asset-tagging pattern used on factory plant fits vehicles: a durable tag on the door pillar linking the vehicle's service history and next-due dates. Engine bays and door frames get heat, vibration and washing, so use weatherproof stock rated for it and place tags where a wipe restores them.

Wrap codes: parked, never moving

Be honest about physics: a QR code on a moving van is unscannable and an invitation to try from behind the wheel. Wrap codes work when the vehicle is parked: outside the job, at lights visible to pedestrians, in the depot queue. Size for a passer-by at 2–5 m: 20–50 cm of code, per the vehicle-wrap sizing numbers, placed on the rear or side panel below eye level, with the offer and short URL printed beside it.

What goes wrong

  • One shared "report a defect" code for the whole fleet, so every report starts with a mistyped registration.
  • Paper tags in engine bays; six months of heat and washes later, nothing scans.
  • Wrap codes at 5 cm, invisible at any distance a pavement offers.
