Payments
A UPI QR code for a freelancer
Use a upi://pay code with tr set to the invoice number, so the payment comes back in your statement with a matchable reference. A personal VPA is fine to start; sustained business volume is safer on a PSP-issued merchant VPA. Embed the code in the PDF invoice itself.
The invoice pattern
The freelancer's problem is not getting paid (UPI solved that) it is knowing which
payment was for which invoice when three clients pay ₹20,000 in the same week. The fix
is one code per invoice, with the amount fixed and the invoice number in tr:
upi://pay?pa=asha@okicici&pn=Asha%20Design&am=20000.00&tn=Logo%20project&tr=INV-2026-014&cu=INR
tr comes back in your bank statement, so the credit and the invoice match without a
message asking "was that you?". The constraint is 1–35 characters of letters, digits,
dots and dashes, INV-2026-014 fits; an underscore or a slash does not. The full
discipline is on the tr and tn page.
Fix the amount too. A fixed am means the client
cannot mis-key ₹20,000 as ₹2,000, because the field is locked on their screen.
Personal VPA or merchant VPA
You can start today with the personal VPA you already have, yourname@bank works in any
UPI QR code and person-to-person transfers are free.
The trade-offs appear at volume. Personal VPAs sit on the P2P rail, which is subject to per-day limits (typically around ₹1 lakh per day, bank-dependent), and a pattern of many inbound credits from many senders on a personal account is the kind of thing banks' monitoring systems ask questions about. Neither is a reason to panic; both are reasons to graduate.
| Personal VPA | PSP merchant VPA | |
|---|---|---|
| Setup | Already have it | PSP onboarding, KYC |
| Rail | P2P | P2M (zero MDR as of 2026) |
| Limits | Bank P2P caps | Merchant caps, generally higher |
| Settlement report | Bank statement only | Proper report with references |
| Name shown to payer | Your registered name | Business name |
The limits layering is covered in UPI limits and charges. If clients pay you lakhs per month, get the merchant VPA; the onboarding is a form, not a project.
Putting the code on the invoice
A code in the corner of a PDF invoice turns "please find bank details below" into a ten-second payment. The mechanics:
- Generate per invoice: new
tr, newam, same VPA. For a batch of invoices, feed a CSV to the bulk tool with atrcolumn. - Export SVG if your invoice template is vector, or PNG at 300 DPI or better, roughly 350 px for a 3 cm code.
- Print size floor is 2 × 2 cm; invoices are read at arm's length, so 2.5–3 cm is comfortable.
- Keep your name and VPA as text beside the code, for clients who pay from a desktop bank portal instead of scanning.
The placement mechanics are on
how to add a QR code to a PDF. Run each
generated code through the validator once: a code that decodes to the wrong
tr costs you the exact reconciliation it was meant to buy.
What the client sees
The payer's app shows the name registered against your VPA, not your letterhead. If you invoice as "Asha Design" but the VPA resolves to "Asha P Kumar", say so on the invoice, otherwise careful clients stop at the mismatch, and they are right to. If the app shows a name you do not recognise at all, see UPI QR shows wrong name.
FAQ
Can freelancers use a personal UPI ID for client payments?
Yes. Person-to-person UPI is free and works immediately. At sustained business volume, P2P daily limits and bank monitoring make a PSP-issued merchant VPA the better home for the income.
How do I match UPI payments to invoices?
Generate one code per invoice with the tr parameter set to the invoice number. That reference appears against the credit in your statement, so reconciliation is a lookup rather than a guess.
Should the QR code on an invoice include the amount?
Yes. The invoice total is known, so lock it with am. The client cannot mis-type the amount, and part-payments become a deliberate conversation instead of an accident.
Do clients pay a fee when paying a freelancer by UPI?
No. The payer is never charged for UPI. On your side, P2P receipts are free, and merchant receipts carry zero MDR as of 2026.
