## The deadline-calendar trick

The chronic cost of a tax practice is chasing clients toward immovable dates. A
[calendar code](/calendar-qr-code) encodes an event (deadline name, date, a reminder),
as a VEVENT that drops into the client's own calendar on scan, no app or account. A
January letter carrying a code for the **31 January** self-assessment deadline (with an
alarm set days earlier) recruits the client's own phone into the chasing. Print one per
key date: VAT quarters, company year-end, payroll cut-offs. The scan works offline once
made; the reminder fires whether or not they ever open your emails.

## Per-engagement upload codes

The records-request letter ("please send your receipts") works harder with a code
that opens the upload flow for **that engagement**: `portal.example.com/u?e=2026-0412`,
engagement reference in the URL, client authenticates, files land pre-filed. Codes for

The token rule from regulated cousins applies: engagement references only, never names
or tax identifiers: a letter is not a secure channel, as the

## Invoice payment codes

The same rails as any invoicing business: in the Eurozone an
[EPC code](/docs/payments/epc-qr-on-an-invoice) pre-fills the credit transfer with
amount and invoice reference; in India [UPI](/upi-qr-code) settles instantly; a

reference in the payload means the fee arrives reconciled, an accountant's own

## What goes wrong

- One generic upload code for all clients, producing an unsorted inbox of receipts.
- Calendar codes made per letter run with last year's dates, regenerate annually and
  [verify one before printing](/validate).
- Payment codes without the invoice reference, undoing the reconciliation benefit.
