# A QR code brand approval workflow

> Approve the destination and the design separately. A branded QR code needs adequate contrast, a clear quiet zone, a restrained logo and a plain-language call to action. Save the approved artwork with its exact payload, then scan a physical proof before distributing it. A successful browser decode does not replace print acceptance.

## Give each review a specific job

The content owner approves the URL and page. The designer approves typography, colours and logo placement. The production owner approves the final printed size and substrate. Assign a named person to each job, even if one person fills all three roles.

A brand colour that looks strong in a slide can be too light for the dark modules. Use a dark foreground on a light background and preserve the four-module quiet zone. Place decorative artwork outside that zone. Use the [design checklist](/docs/design/qr-code-design-checklist) as the review sheet.

## Save the evidence with the artwork

Record the exact encoded text, error-correction setting, dimensions, export format and intended print location. Keep the approved SVG or PDF alongside a small preview. Do not use a screenshot as the production master.

UseQR's studio verifies the rendered code before allowing its download. That establishes a matching decode for the tested rendering. It does not establish approval of the destination or reliability on every material and device.

## Proof the final production file

Import the artwork into the actual layout and print at final size. Use the [comparison tool](/compare) to examine rendering changes, then scan the physical proof with representative phones. Test the likely lighting and viewing distance. Open the link as a visitor, including any login or language selection.

If the QR code fails, first enlarge it, restore contrast and remove decorative interference. Shrinking the logo is usually safer than adding more styling. Repeat acceptance when a print supplier changes scaling, ink or material.

## Keep reuse controlled

A shared template can speed up the next campaign, but the next destination still needs approval. Export a reusable visual preset from the studio Design tab to reuse colours and shapes across tools. Presets exclude payload fields, labels and logo images. Store the source and the review record in an organisation-controlled folder. UseQR does not provide brand locks, approval queues or team permissions; those controls belong in your existing workflow until such features exist.

### Can a template guarantee every future code scans?
No. Payload length changes the matrix density. Test each new payload and the final printed artwork.

### Does a decoded code prove the destination is safe?
No. Decoding proves what text the image carries. Destination ownership and behaviour need separate review.
